abstract: with the development of the process of global economic integration, the worldwide economic cooperation and exchanges are increasing. it is impossible that people meet their trading partners face-to-face, and we often need to make all kinds of the commitments that our trading partners have made a written record that can be checked. now english business letters have become a cheap and effective medium of communication and replaced a personal visit. each letter that we write to our trading partners represents a company’s image and shows its strength. a courtesy and descent business letter can help to build a favorable business image for the company and do business better. however, a letter without courtesy can not only lead to the failure of the business, but also destroy the image which the company has built up for years. therefore, the courtesy of business letters is very important. through

21世纪是经济日益全球化的世纪,中国与世界各国的交往日益频繁,国际贸易事业发展迅猛。但随着科学技术的发展,国际间的贸易往来更多地使用传真与电子邮件来传递商务信函。因而,英语商务信函成为一种便宜而有效的沟通媒介。“一封好的商务信函,可以带来截然不同的效果,使你所要表达的意思焕然一新,给对方深刻的印象,使您的职业道路畅通无阻。一封好的商务信函有助于促进和发展同客户的关系,在促进达成新的业务方面起着积极的作用。” 二、英语商务信函的定义

英语商务信函是一种最常见的商业联系媒介,它是一种通过电脑或者打字机“书信”来完成的人际间交往。实际上商务信函是一种“推销”函,写信人总是在推销着什么,可能是一种产品、一项服务、一项专利、一个观念,甚至是推销自己或树立自己所在公司的形象等。 三、英语商务信函写作原则

1、礼貌原则(courteousness)

商业信件要简洁明了,既要注意信件的措词得体,又要符合商业信件礼貌周到的原则。写信时要注意礼节,不要盛气凌人,避免出现命令或粗鲁等不恰当的口吻。写信过程中除了多使用诸如please;your kind inquiry;i would appreciate it if you would等短语外,还需做到以下几点:语气要真诚、善解人意以及考虑周全;避免使用伤害、贬低的短语,如:your neglectful attitude;impatience;we deny your claim 等;避免使用含有性别歧视的词语,如 businessman;chairman 等。 2、正确原则(correctness)

正确性不仅仅指英语语法、标点符号和拼写,更重要的是书信的内容要叙述正确,不要说过,不宜漏说略述。避免使用一些语意模糊的词语或短语,如:majority;a great of time;minority等,这些表达易造成混乱、误解,甚至引起不必要的纠纷。这一点对商务文件、信函等尤为重要。

3、明晰原则(clearness)

信要写得清清楚楚、明明白白,毫无晦涩难懂之处,以至于收信人看了之后不会误解写信人的意图。信的每段宜一个话题为妥,采用篇幅较短的段落阐述,每段段首以主题句开门见山提出每段的主要观点。段与段之间应使用过渡语衔接,诸如:firstly;secondly;however;moreover;in contrast 等短语,使整封信自然流畅,明白易懂。

4、简洁原则(conciseness)

一封拖沓冗长、措辞复杂的书信不仅写时费时,对方阅读更浪费时间,有时甚至看不懂。故撰写商业信件时要长话短说,避免罗嗦,用尽可能少的简单的文字,完整清楚地表达需要表达的意思,这一点符合商务英语简易化的趋势。 5、完整原则(completeness)

信函的内容力求完整,需回答来信所提出的所有问题和要求,或是包括写信人希望收信人作出积极反映的一切问题及情况。 6、具体原则(concreteness)

使所表达的内容准确而又生动。当涉及到数据或具体的信息时,比如时间、地点、价格、货号等等,尽可能做到具体。这样会使交流的内容更加清楚,更有助于加快事务的进程。 7、体谅原则(conscientiousness)

体谅原则强调对方的情况而非我方情况,要体现一种为他人考虑、多体谅对方心情和处境的态度。当撰写商务英语文书时,要将对方的要求、需要、渴望和感情记在心中,寻找最好的方式将信息传递给对方。

以上七个原则是商务信函写作中的指导原则,对于写好一封商务信函起着非常重要的作用。 四、英语商务信函的礼貌

从上述原则中,可以发现礼貌是书面商务信函中最基本的原则,是重中之重。

我们这里所说的礼貌,并不是简单用一些礼貌用语,比如your kind inquiry;your esteemed order等就可以的,而是要体现一种为他人考虑,多体谅对方心情与处境,并且在文字表达的语气上应表现出一个人的职业修养,显得客气而得体。最重要的礼貌是及时回复对方,最感人的礼貌是从不怀疑甚至计较对方的坦诚。商务交往中肯定会发生意见分歧,但礼貌和沟通却可以化解分歧而不影响

双方的良好关系。商务信函中无论是索赔、抱怨及拒绝接受等措辞均要力求客气,委婉、礼貌地作答。 五、英语商务信函中礼貌的表现 1、英语商务信函的首尾 (1)信件开头的问候语

虽说这些都是客套话,但是在商务信函中却是一种礼貌的表现。 如果对方是女士,不论婚否,如无职称,可用“ms.”。如对方愿用“miss”或“mrs.”,宜尊重对方意见。如不知对方是男士还是女士,则可根据信的内容,选择一个合适的尊称。例如:“dear customer”;“dear personnel manager”。

如果你不知道对方的姓名,可以用最客气的方式来问候他/她:dear sir or madam (尊敬的先生或女士) 。

如果你知道对方的名字,则可以标明对方姓名,显得更亲切些:dr. smith(斯密思博士);mr. smith(斯密思先生);mrs. smith(斯密思夫人);ms. smith(斯密思女士 );miss smith(斯密思小姐)。

如果收信人是你的朋友或关系亲密的同事,就直接用名字,不用姓:dear james (亲爱的詹姆斯)。

力求避免使用“to whom it may concern”。因为据美国一些礼仪专家说,多数使用这样的称呼的信件都被扔进字纸篓,这种信件也许要花上几个星期才能到达负责处理这类信件的有关部门。然而,现在不少人向外国公司、大学等推荐人员时,他们的推荐信仍使

用这种称呼语(当然,国外也有不少人仍然使用这种称呼语),这是不可取的。如果你向一家外国公司推荐一名求职者,则可把推荐信写给该公司的人事部,使用“dear personnel director”;“dear personnel manager”而不宜使用“to whom it may concern”。 (2)信件结尾的敬语

结束语与开首的称呼语一样,也是客套语,但是在商务信函中也是一种礼貌的表现。 如果既是你的业务伙伴,又是朋友,则可用非正式的礼貌用语,只要给出最真诚的祝福,所以可以用:best wishes或者 best regard。

如果只是你的业务伙伴,而且是第一次合作时,则要用正式的礼貌用语,既要表现出你真挚的祝福,也要表明你的严肃态度,所以可以用:sincerely;sincerely yours;truly yours;yours truly;yours very truly。

有时也用respectfully或respectfully yours。在所有的结束语中,这是正式程度最高的,在商务信函中使用最少,因为它一般用于写给政府官员或教会神职人员的信中;best 正式程度最低,但常用于比较熟悉的收信人;sincerely用的最多。 2、英语商务信函的语气

“if what you say is true …”;“if …as you allege”之类的语句往往让人觉得你是在怀疑别人的可信度。这样不利于激发对方作出对你有益的举动。试比较下面的例句: poor:
